Job Overview:

Our San Francisco office is seeking a full-time administrative assistant to support a senior partner and her administrative assistant, who are part of a wonderful and collegial group of attorneys and paralegals. This position requires a professional, organized self-starter with a strong attention to detail and the ability to interact with staff and clients in a fast-paced, high volume legal environment. We are looking for someone who is a team player (we believe in teams and that we are stronger together!), a can-do attitude, and a proactive work ethic.

Responsibilities:

  • Assist senior partner and her executive assistant in managing a dynamic, high-volume, practice and project management.
  • Prepare and finalize a wide variety of documents, including correspondence, memoranda, and legal materials. Responsible for proofreading all materials.
  • Provide administrative support: email and phone communication; scheduling conference calls; coordinating and scheduling travel arrangements; and maintaining attorney calendars.
  • Establish and maintain electronic files in compliance with current firm policies using the firm’s document management system. Update firm database and run case lists and reports for attorneys.
  • Team-based approach: Provide assistance to other legal assistants and paralegals to meet firm and client needs; organize and prioritize workload to enable and facilitate team effort to accomplish firm and client goals most efficiently.
  • Foster professional, cooperative, and supportive relationships with peers, supervisors, and clients.
  • Handle highly confidential and sensitive information with the utmost discretion and diplomacy.
  • Handle incoming calls professionally and expeditiously.

Qualifications:

  • Bachelor’s degree, associate degree, or legal assistant certification
  • Law firm or legal department experience preferred but not required
  • Highly proficient with Microsoft Word and Excel
  • Database experience preferred
  • Strong attention to detail
  • Strong organizational skills and ability to multitask
  • Strong written and oral communication skills
  • Ability to complete work efficiently and independently
  • Commitment to providing excellent customer service
  • Ability to work independently and in a team setting
  • Strong interpersonal skills

Work Location and Hours:

While Atheria supports flexible working arrangements, including remote work when appropriate, we believe that to optimize the understanding of our practice, working as a team, and best servicing our clients, in-person interaction is important. This position will be in-person three to four days per week during regular business hours of 9:00 a.m. to 5:00 p.m., Monday through Thursday with remote work on Fridays.

The expected annual salary range for this position is $60-85,000. The salary offered will be determined by a wide range of factors including but not limited to experience level, education/training, and relevant skills. This position is eligible for an annual discretionary performance-based bonus program.
